Terms of Service

You must be at least 18 years old and hold (or be working toward) a licensed mental-health credential in a United States jurisdiction. You agree to provide accurate account information and to keep it current. One account per person.

• You are responsible for all activity under your account and for keeping your password and authentication codes confidential.
• Notify us promptly at support@theranotes.ai if you suspect unauthorized access.
• Do not share login credentials. Each supervisor and each supervisee must have their own account.

• Paid plans are billed monthly in advance via Stripe. By subscribing you authorize recurring charges until you cancel.
• You can cancel at any time from the Billing page. Cancellation takes effect at the end of your current billing period; you keep access to paid features until then.
• We do not offer refunds for partial months. If a charge was made in error, email us within 30 days and we will investigate.
• We may change pricing with at least 30 days' notice. Changes apply to subsequent billing periods.
• Free tiers may be changed or discontinued with reasonable notice.

SupervisionPath is a record-keeping and planning tool for supervised clinical experience. Outputs such as hour totals, pace projections, competency visualizations, board-ready exports, and supervisor attestations are generated from the data you enter.

SupervisionPath is not legal, clinical, or licensing advice. Licensing rules vary by state and change over time. Verify all requirements with your state licensing board before relying on any output from this service. SupervisionPath does not submit applications to boards on your behalf and makes no representation that any board will accept a particular export or attestation.

You agree not to:

• Enter real client names, dates of birth, addresses, or other protected health information (PHI). Golden-thread entries and descriptions must use anonymized labels only.
• Upload documents that contain PHI of clients who have not provided informed consent. You are responsible for your uploads.
• Falsify supervision hours, sessions, or attestations. Attestations generated by SupervisionPath carry your supervisor's signature — misuse may have licensing consequences.
• Resell, sublicense, scrape, reverse-engineer, or probe the service for vulnerabilities without prior written permission.
• Use the service to harass or harm others, or to violate any applicable law or professional ethics code.

We may suspend or terminate accounts that violate these rules.

You retain ownership of the data you enter. You grant us a limited license to host, process, display, and transmit that data as necessary to operate the service for you. We do not use your data to train machine-learning models. See our Privacy Policy for details.

When you accept or issue a supervision invitation, both parties agree that the other may view and annotate the supervision data tied to that relationship (sessions, hour logs, verifications, attestations). Either party may end the relationship at any time; historical records remain intact so the supervisee can preserve completed hours.

SupervisionPath's software, design, and content (other than user-entered data) are owned by TheraNotes AI, LLC. You receive a limited, non-exclusive, non-transferable license to use the service for your own licensing-related work for as long as your account is in good standing.

Links to state licensing boards, exam bodies, and other external sites are provided as convenience. We are not responsible for the accuracy or availability of third-party sites and do not endorse them.

SupervisionPath is provided "as is" and "as available". To the maximum extent permitted by law, we disclaim all warranties, express or implied, including fitness for a particular purpose, merchantability, and non-infringement. We do not warrant that the service will be uninterrupted, error-free, or that any output will satisfy a specific licensing board's requirements.

To the maximum extent permitted by law, our total liability for any claims arising out of or related to the service is limited to the amount you paid us for the service in the 12 months preceding the claim. We will not be liable for indirect, incidental, consequential, or punitive damages, including lost profits, delayed licensure, or regulatory actions.

You agree to indemnify TheraNotes AI, LLC and its officers, employees, and contractors against any claim arising from your misuse of the service, your violation of these Terms, or your violation of any law or third-party right.

You can close your account at any time by emailing us. We may suspend or terminate your account if you materially breach these Terms, if required by law, or if we discontinue the service. On termination, you remain able to request an export of your data for 30 days unless we are legally required to delete it sooner.

These Terms are governed by the laws of the State of Alabama, without regard to conflict-of-law principles. Exclusive venue for any dispute is the state and federal courts located in Jefferson County, Alabama. You and we each waive any objection to that venue.

We may update these Terms from time to time. If changes are material, we will notify you by email or an in-app notice before they take effect. Continued use of the service after the effective date of the updated Terms constitutes acceptance.
